Clinic Policies
In order to provide the best service for our clients and their pets, we adhere to the following policies. Please review the information below so that your visit can be as safe and comfortable as possible.
Safety
We require that all visiting pets at the clinic be in a pet carrier or restrained on a leash for everyone’s safety.
Appointment and Cancellation Policies
We make efforts to see patients at their scheduled times. If you cannot keep an appointment we require 72 hours’ notice. By providing us with notice of cancellation, we are able to accommodate other clients and patients with your appointment slot.
Confirmations are required for all appointments. As a courtesy, we will reach out by phone or text message a few days prior to the scheduled appointment. If we do not receive a confirmation we will cancel the appointment. Please ensure that you provide us with the best contact information each time you visit us.
Beaverton Office: Please plan your timely arrival. Be aware that there are various construction areas in the Portland Metro area that may affect your transit time. Families with patients arriving 10 minutes later or more after their scheduled appointment may be subject to a missed appointment charge and required to reschedule. This missed appointment fee must be paid before scheduling another appointment.
Communication Policy
We are committed to ensuring that our policies, practices, and procedures are consistent in providing client communication to everyone. Please allow us 2-3 business days to return your phone calls, emails, or prescription refill requests. We strive to respond as soon as possible. We are closed on Wednesdays, and weekends and observe most US holidays.
Required Exams For Refills Of Medications:
By Oregon law, in order to fill or refill a prescription medication for a patient the prescribing doctor must have seen that patient within the last 12 months. This applies to veterinarians, too. This means that even if your pet has recently been seen by your primary (general) veterinarian we will require an annual exam with our clinic in order to continue prescribing medications for your pet’s dermatologic condition. The only possible exemptions to this are refills of allergy serum, shampoos, prescription diets, some nutraceuticals/supplements, and some flea/parasite preventatives. The refill of some medications and treatment of some conditions may require more frequent examinations or periodic lab work. If you have questions about what may be required for your pet make sure to ask the staff about your pet’s specific requirements.
Calling Medications into Outside Pharmacies:
Veterinary clinics are not licensed as pharmacies. This means that in most cases we can not call in a prescription to another veterinary office for pick up. If for any reason you need or want to pick up a medication somewhere other than our clinic be prepared to provide us with the name and phone number of a human pharmacy. Also, please be aware that not all medications used in veterinary medicine are available at human pharmacies and that we have no control over the availability or cost of medications filled with outside pharmacies.
If coming to the clinic to pick up medications is a hardship let us know and we can help you place an order with our online pharmacy, Vetsource, which can deliver medications to your home, or we can ship them out directly from our office by Priority Mail or FedEx.
Payment Policy
Estimates are authorized by signature prior to provided treatment. There is the possibility of changes to treatment therefore provided estimate(s) may fluctuate. By signing the estimate you are agreeing that additional charges may be added.
We require full payment at the time that services are rendered. We accept cash, checks, Mastercard, Discover, and Visa. We also accept Care Credit. Due to the rising costs of merchant fees, we are no longer able to accept American Express.
Insurance
There are several pet insurance programs that may be helpful for unexpected pet expenses from the treatment of injuries or illnesses. Animal Allergy and Ear Clinic are not affiliated with any insurance company. Payment for all services/medications is due at the time of service. You can then submit your claim to insurance for reimbursement. We will assist you by providing you with the necessary invoices and documentation as well as providing the insurance company with any additional documentation they may request from us directly.
